About Us: Facts

The James House Mansion is owned by Phelps Memorial Hospital Center, Sleepy Hollow, New York, and operated by the Phelps Memorial Hospital Auxiliary.  The Mansion is a site rental facility only.  All supplies and rentals are provided through the caterer.

The James House Mansion is shown to prospective clients by appointment only.  If you are interested in seeing The Mansion, a Representative will contact you to set up a mutually convenient appointment. A James House Mansion Representative will be present at all functions to represent the interests of The Mansion. 

Phelps Memorial Hospital is a totally tobacco-free facility.  Use of all tobacco products in any form throughout the hospital campus is prohibited at all times. This includes The James House Mansion, inside and out, the verandah, driveway, walkway, grassy areas, in cars, vans, and other transport vehicles.

Capacity


Maximum of 80 people: Sit-down event using both parlors, with the Grand Hallway used for music and dancing;
Maximum of 104 people: Sit-down event using both parlors and a portion of the Grand Hallway, leaving limited space for music and dancing;
Maximum of 120 people: Sit-down event using both parlors and all of the Grand Hallway, with no space for dancing;
Maximum of 120 people: Stand-up cocktail reception with music and dancing;
Note: At no time can the number of guests exceed 120 for an event.

Social Events


5-Hour Event: (Wedding, Bar/Bat Mitzvah, Birthday, Graduation Party, etc.)
Price includes 5-hour party, plus up to 5 hours for caterer set-up/breakdown time

4-Hour Event: (Bridal Shower, Engagement Party, Retirement Party, etc.)
Price includes 4-hour party, plus up to 4 hours for caterer set-up/breakdown time

3-Hour Event: (Baby Shower, Luncheon, Memorial Service, etc.)
Price includes 3-hour party, plus up to 3 hours for caterer set-up/breakdown time

Overtime: $200 per half-hour, to be arranged before contract is signed.
Maximum Event Time: 5 hours. All events must end by 12 Midnight.
Total Mansion Use Time: 10 hours, which includes caterer set-up/breakdown and event itself.
Limitations: (1) Music must conclude at Midnight.
(2) Guests must vacate the Mansion at Midnight.
(3) Alcohol service must conclude when guests leave premises.

Business Events

The James House Mansion may be rented for a half-day or a full day for business meetings, conferences, retreats, etc.  These arrangements must be discussed with the James House Office before a price is quoted.

Catering

The Mansion provides a list of preferred caterers from which to choose.  If the caterer is not on the preferred list, and this is their first experience working at The Mansion, the following requirements must be met 30 days prior to the event:

  • $600.00 security deposit must be posted which will be refunded after inspection of the Mansion, following the event, provided no damage reported.
  • The Caterer’s Agreement/Checklist must be signed and returned to the Mansion Representative.
  • Insurance Requirements: Certificate of Worker’s Compensation Insurance; Certificate of General Liability Insurance with Minimum Liability Limits of $2,000,000 in Bodily Injury and Property Damage combined coverage (Liability Certificate must name Phelps Memorial Hospital Center/James House Mansion as an Additional Insured); Liquor Liability/Dram Shop Insurance, $1,000,000 minimum.  All insurance documentation to be provided to the James House Representative.

Confirmation from all caterers of the final number of guests being served, to be noted on the Caterer’s Agreement/Checklist, 5 days before the event.  The James House Representative must also be advised.
